AUDIX is the voice mail system used by Quinsigamond Community College. It provides a messaging capability for internal end external phone calls, as well as a way for the user to send messages to other users on the system. If you have any questions or problems, contact the Help Desk.

General AUDIX Information

  • Messages are only retained for 10 days. Messages that remain in your mailbox will be deleted automatically after that time frame.
  • Messages will remain in your mailbox unless you delete them, or allow the system to delete them after the 10 day time frame. However, please note that voice mailboxes are limited in size. Once your mailbox has reached its storage limit, no other messages will be accepted.
  • Messages are only deleted by pressing “*3” after listening to a message. Messages can only be deleted individually. Simply listening to a message does not delete it.
  • When you access your voice mailbox, the AUDIX “voice” will only announce if you have any “new” messages. The only way to determine whether you have “old” messages stored in your mailbox is to enter the “Getting Your Messages” category, and you will be able to listen to any old messages which may be retained.
  • At any time, you may press "* H" for an extensive Help Menu, which will inform you of your current status in AUDIX, and what options are available to you.

Setting Up Your AUDIX Mailbox

There are some basic steps to be followed in order to "open" your voice mailbox. Following these steps will only be necessary the first time you log into AUDIX.

  1. Dial the AUDIX extension, ext 4555 (from off-campus, dial 508-854-4555)
  2. When AUDIX answers, and asks for your extension, enter your 4-digit extension followed by “#”
  3. When AUDIX asks for your password, enter the initial system password
  4. You will be asked to record your name - press 1; speak your first and last name; press 1 again
  5. You will be asked to create a new password - enter a password  (minimum 5 digits/maximum 15 digits) followed by “#”.  You will then have to re-enter the new password followed by “#” (for verification)
  6. Press 3 to administer your personal greetings (Your personal greeting is what will be heard when a caller reaches your voice mail)
  7. Press 1 to create a greeting
  8. Press 1 to create your first greeting
  9. After the tone, record the greeting (i.e.; “Hello, you have reached NAME. I’m not available at the moment.  Please leave me a message after the tone and I will return your call as soon as possible.”); press 1 to stop recording
  10. Press 2-3 to playback the greeting
  11. Press “*”-3 to delete it if you don’t like it (and return to step 8) OR “* - #” to approve it
  12. Press 1 to activate the greeting for all calls
  13. Hang up to exit from AUDIX

How to access AUDIX voice mail

  1. Dial the AUDIX extension, ext 4555 (from off-campus, dial (508) 854-4555)
  2. When AUDIX answers, enter your 4-digit extension followed by “#”
  3. Enter your password, followed by “#”
  4. At this point, you will hear the following:
    • Your name or your extension, if your name has not been recorded
    • The AUDIX “voice”, announcing if you have any new messages (and if so, how many there are) or not.
    • The AUDIX “voice” will now give you three basic options: Recording Messages (Press "1") Getting Messages (Press "2"); Administering Personal Greetings (Press "3").

"To Record Messages, Press 1" (Sending a Voice Mail Message)

"Recording Messages" gives you the ability to send a message to anyone who has voice mail to be received immediately, or at a time of your choosing, programmable up to a year from the day you record the message. In addition, you can send this message to a single individual or a group of people.

 

How to Send a Voice Mail Message

  1. After logging into AUDIX (see above), press "1" to enter the Record a Message option
  2. You will hear a short prompt telling you to begin recording at the tone, followed by the tone. At this point you should begin recording your message. In order to stop recording, press "1"
  3. You may now review what you just recorded by pressing "2-3"
  4. If you wish to re-record your message, press "1" (Please note that you will hear the tone to begin recording immediately after pressing "1")
  5. To approve your message, press "* - #"
  6. You will now "address" the message in order to send it to the person, or persons desired by entering their extension(s) - be sure to press the "#" button after each extension.
  7. When you have finished addressing the message, press "* - #"
  8. In order to deliver the message immediately, press "* - #". If you wish to schedule delivery, follow the prompts.
  9. AUDIX will now ask you if you would like to "file a copy". This would essentially place a copy of the message in your mailbox. The recommendation is not to file a copy, since it takes up space within your mailbox - Press "6" in order to not file a copy.
  10. You will be returned to the main activity menu
  11. Hang up to exit from AUDIX

 

"To Get Messages, Press 2" (Getting Your AUDIX Messages )

'Getting Your Messages" will be your major activity in AUDIX. There are a number of options within this category, however, the basic steps will be explained below. For further information, follow the AUDIX prompts, or contact the System Administrator for assistance.

 

Getting Your AUDIX Messages

  1. After logging into AUDIX (see above), Press “2” to get your messages
  2. AUDIX will give you a “Header” which consists of what type of message, what time it was received, and what extension (if it was an in-house call)
  3. Press “0” to listen to the message
  4. As you are listening to the message, the following options are available to you:
  5. “3” to pause (then “3” again to resume play)
  6. “2” to rewind to the beginning of the message
  7. “5” to back-up the message in 4 second increments
  8. “6” to advance the message in 4 second increments
  9. When you have finished listening to your message, you may delete it by pressing “*”D If you would like to retain the message, press “#” to put it in your “Old Message” category
  10. AUDIX will then continue announcing your new messages, if any, followed by your old messages, if any
  11. Hang up to exit from AUDIX

"To Administer Your Personal Greetings, Press 3"

Your "Personal Greetings" option allows you to record a greeting which will be heard when a caller is directed to your voice mail. It is how you record the message which basically says "Hi - I'm not here right now. Please leave me a message and I'll return your call."

Administering your Personal Greetings

  1. Press 3 to administer your personal greetings (Your personal greeting is what will be heard when a caller reaches your voice mail)
  2. Press 1 to create a greeting
  3. Press 1 to create your first greeting
  4. After the tone, record the greeting (i.e.; “Hello, you have reached NAME. I’m not available at the moment.  Please leave me a message after the tone and I will return your call as soon as possible.”); press 1 to stop recording
  5. Press 2-3 to playback the greeting
  6. Press “*”-3 to delete it if you don’t like it (and return to step 4) OR “* - #” to approve it
  7. Press 1 to activate the greeting for all calls
  8. Hang up to exit from AUDIX

Mailing Lists

The Mailing List function allows you to preprogram a group of extensions, for the purpose of sending a single AUDIX message to a group of extensions.  This would be useful , for example, for a committee chairperson to announce an upcoming meeting to the committee members.

To Create A Mailing List

  1. Dial 4555 (from off-campus, dial 508-854-4555)
  2. Enter extension and “#”
  3. Enter password and “#”
  4. Press “5”
  5. Press “1” to administer mailing lists
  6. Press “1” to create your list
  7. Enter a name for your list, followed by the “#”
  8. Lists can be made Public or Private.  Private list(s) may only be used by the person who created the list.  Public list(s) may be shared with other users.  To make your list Public, press “2”.  To make the list Private, press “1”.
  9. Enter the extensions which will make up the list - after each extension, press “#”
  10. When you have entered all of your extensions, press “* #”
  11. Hang up to exit from AUDIX

To Use A Mailing List

  1. Dial 4555 (from off-campus, dial 508-854-4555)
  2. Enter extension and “#”
  3. Enter password and “#”
  4. Press “1” to record your message
  5. Press “1” to stop recording
  6. Press “2 - 3” to review your message
  7. Press “* - 3” to delete your message if you don’t like it (and return to step 4) or press “* #” to approve it
  8. Press “* L” to use a mailing list
  9. Enter the list owner’s extension, followed by “#”
  10. Enter the name of the list, followed by “#”
  11. To enter additional extensions not on the mailing list, enter the extension, followed by “#”
  12. When you have finished addressing the list, press “* #”
  13. Press “* #” to deliver your message immediately
  14. Press “y” if you would like to file a copy of your message, or “n” if you would not - the recommendation is to NOT file a copy, as this would take up space in your mailbox
  15. Hang up to exit from AUDIX

Change Your Password

  1. Press "5" "4" from the Activity Menu
  2. Enter new password (minimum of 6 digits maximum 15) and press #
  3. Re-Enter new password and press #

Record Your Name

  1. Press "5" "5" from the Activity Menu
  2. Say your name after the tone
  3. Press "1"
  4. Press # to approve

AUDIX Controls

 

There are various keypad controls available to you as you operate within AUDIX. A few of these controls are explained below:

  • At any time you may press "* H" for HELP
  • To restart at the main Activity Menu, press "* R"
  • To have AUDIX pause at any time, press "* W"
  • To delete a message, press "* D" immediately after listening to the message and before you listen to the next message or exit from AUDIX. Pressing "* D" after you exit from AUDIX executes your "Send All Calls" command.
  • To look up a name or an extension in the AUDIX director, press "*  * N"
  • To Undelete a message, press "* * U". However, you can only undelete the last message you deleted, and you may not undelete a message once you exit AUDIX.
